1. General Provisions

1.1. These Terms & Conditions (“Terms”) govern the relationship between Oriento Travel LLC (“the Company”, “we”, “us”, “our”) and any individual or legal entity (“the Client”, “Participant”, “you”) booking or participating in any tour, program, or travel service organized by the Company.

1.2. By submitting a booking request, completing a registration form, or participating in a tour, the Client confirms that they have read, understood, and agreed to these Terms.

1.3. Any special conditions or program-specific policies communicated separately form an integral part of these Terms.

 

2. Booking & Confirmation

2.1. A booking is considered submitted when the Client completes the online application form or contacts the Company via email with a request to participate.

2.2. A booking becomes valid only upon written confirmation from the Company. The Company reserves the right to accept or decline any booking at its discretion.

2.3. The Client is responsible for providing accurate personal information, including identification data required for travel arrangements, accommodation, or permits.

3. Scope of Services

3.1. The services included in the tour price are strictly those listed in the official tour program. Any services not expressly mentioned are excluded and may incur additional charges.

3.2. The Company reserves the right to modify the order, timing, or content of services when necessary due to operational needs, weather conditions, force majeure, or unforeseen circumstances. Equivalent or higher-standard alternatives will be provided whenever possible.

4. Travel Documents, Insurance & Responsibilities

4.1. The Client is fully responsible for ensuring possession of valid travel documents, including passports, visas, health certificates, and any required permits.

4.2. The Company strongly recommends that all participants obtain comprehensive travel insurance covering medical expenses, luggage, cancellations, and unforeseeable events.

4.3. The Client agrees to comply with all local laws, safety regulations, instructions from guides, and rules of conduct. The Company shall not be liable for damages arising from non-compliance.

4.4. The Company is not responsible for loss, theft, damage, or injury caused by third-party providers, natural conditions, or actions outside the Company’s reasonable control.

5. Changes & Cancellations by the Company

5.1. The Company reserves the right to cancel, postpone, or modify a tour due to insufficient participation, force majeure, security concerns, or circumstances beyond its control.

5.2. In the event of cancellation by the Company, any payment made by the Client directly to the Company will be refunded in full. This does not apply to costs paid by the Client independently (e.g., flights, visas, insurance).

PAYMENT & CANCELLATION POLICY

6. Payment Terms

6.1. Payment terms depend on the specific tour. Fees may be payable in advance or on-site, as specified in the program or invoice.

6.2. All payments must be made in the currency and method stated on the invoice or in the program description.

6.3. Single-room accommodation, optional excursions, permits, visa costs, personal expenses, and services not included in the program are subject to additional fees.

7. Cancellation by the Client

7.1. Cancellations must be submitted in writing via email.

7.2. If the tour allows on-site payment, cancellation before arrival does not incur financial penalties.

7.3. If payment was made in advance, the refund amount depends on the cancellation timing and conditions set for the specific tour.

7.4. No refunds are provided for unused services or for withdrawal during the tour.

8. Reimbursement for Future Group Bookings

8.1. If a participant subsequently organizes, delivers, or brings a group as a guide or on behalf of a company they represent, they may be eligible for a reimbursement.

8.2. The reimbursed amount corresponds exclusively to the fee paid for one individual participant in the original tour.

8.3. The reimbursement conditions, procedure, and deadlines are determined in writing between the Participant and the Company at the time of group confirmation.

9. Data Controller

Oriento Travel LLC is the controller of personal data collected during the booking and participation process.

10. Purpose of Data Processing

10.1. Personal data is collected and processed exclusively for:

  • booking and participation management,

  • communication with the Client,

  • issuance of invoices and contractual documents,

  • compliance with legal and accounting obligations.

10.2. Data will not be sold or transferred to unrelated third parties.

11. Data Sharing

11.1. Data may be shared with trusted service providers (hotels, transportation partners, guides) only when necessary for the delivery of contractual services.

11.2. All partners are required to comply with data protection standards.

12. Rights of the Client

12.1. The Client has the right to request access, correction, deletion, or restriction of personal data.

The Company will respond within the timeframe required by applicable data protection laws.

13. Data Retention

13.1. Data is stored only for the period necessary to fulfill contractual and legal obligations, particularly accounting requirements.

 

14. Governing Law & Disputes

14.1. These Terms are governed by the laws of Georgia.

14.2. Any disputes arising from or connected to the services provided by the Company shall be resolved amicably whenever possible. Failing that, disputes shall be subject to the jurisdiction of competent courts in Tbilisi, Georgia.

15. Final Provisions

15.1. The Company reserves the right to update these Terms & Conditions at any time. Updated versions become effective upon publication on the Company’s official communication channels.

15.2. Participation in any tour constitutes acceptance of the most recent version of these Terms.
